Description of Position

Seeking an administrative assistant to perform secretarial duties for a multiple program behavioral health clinic medical team, serving as assistant to medical director.

Essential duties and responsibilities:

Management of Medical Director's schedule, serve as a liaison to CCBC’s ACCS Program and to external medical professionals and pharmacies. Work with VNA agencies to coordinate Plans of Care, facilitate medication orders, reconcile orders and maintain record of face to face encounters and recertifications. Maintain all paper and electronic charts with MAP compliant consults, releases and hospital discharges within the EHR. Coordinate, monitor and schedule doctor visits in compliance with DMH and MAP policy guidelines, and generate and provide documentation such as jury duty letters, emotional support accommodation documentation, medical necessity justification paperwork; SSA disability documentation; DTA disability documentation; and SNAP medical documentation.

As needed, the liaison may facilitate inclement weather medication holds, complete and track legal documentation such as guardianship renewals, complete clinician affidavits, creation and maintenance of documentation for lab work, including scheduled and random toxicology screening. Provide oversight and processing of medication refill notifications and prior authorizations, pre-billing scrub of evaluation and management services for medical team.

Requirements

High School diploma or equivalent; MAP Certification with minimum one year of MAP expertise preferred. Knowledge of Commercial, Medicare and Medicaid products. Candidates must have ability to multitask and work well both independently and with a team. Excellent Internal and External customer service skills required.

Must possess strong organizational skills, with time management and ability to multi-task, demonstrate courtesy and a high degree of tact and judgement when interacting with internal and external customers. Candidates must demonstrate consistent flexibility and adaptability. Adhere to all HIPAA regulations, MAP Certification will be required to be obtained.
